Facilities Coordinator - Facilities Management

Location: Chalon Campus (West Los Angeles)

Duties include staffing, budgeting, purchasing, bookkeeping, document review, spreadsheet creation, correspondence, contract maintenance and other related functions. Primary responsibility for managing the department’s work order software system.

Duties and Responsibilities:

  1. Manage the work order software system for tracking work order requests, contracts, contractor’s
    insurance, inventories, preventive maintenance items, and prepare and analyze the appropriate reports. 
  2. Maintain office management systems; train department personnel on use of systems. 
  1. Assist Director, Associate Director and Managers with coordinating daily operations; develop and track internal operating procedures. 
  1. Supervise the responsibilities of student assistants; provide work direction. 
  1. Compose correspondence to and prepare reports for various sources within the college community and outside contacts (includes contracts, schedules, general correspondence and other pertinent information). Ensure proper formatting, accuracy and completeness of final draft as well as proper
    routing of all copies. 
  2. Gather/compile financial/statistical information for various reports. Develop, create and maintain
    worksheets and statistical analyses. Document procedures for the preparation of special one time or non-recurring reports. 
  1. Screen visitors and telephone calls to determine the purpose of the visit/call and route appropriately. Oversee office management, including requisition of office supplies and standard
    materials. 

Qualifications and Requirements:
Strong working knowledge of a facilities management office environment, the needs of a diverse college
community, and office policies, procedures and practices. Solid working knowledge of computers, as well as word-processing, spreadsheet, database and/or other software applications used by the department (e.g.,
Excel-including workbooks and links), and Internet research skills. Sufficient knowledge of basic supervisory
principles and bookkeeping principles.

Ability to effectively organize, prioritize and handle multiple tasks to meet established deadlines. Initiative,
sound judgment and decision making. Analytical, detail-oriented, and accurate. Excellent interpersonal skills
to build rapport and maintain positive and effective working relationships with all levels of management,
faculty and staff, as well as a variety of external contacts. Understanding of, sensitivity and respect for, the
diverse academic, socioeconomic, cultural, ethnic background of the College’s students.  Strong computer,
customer service, oral/written communication, basic mathematics, bookkeeping and project coordination skills. Sufficient supervisory skills.   Bi-lingual Spanish/English required.

Minimum of five to seven years office management experience working in a high-volume office working with
people of diverse backgrounds and cultures. Sufficient demonstrated project coordination experience.

Associate of Arts Degree or equivalent education required; Bachelor’s degree preferred.
