Best Practices for Email
Process email promptly and delete/empty items that you no longer need.  Clear the clutter!

Save attachments on your computer- DO NOT leave them in the email system.  Email systems are not designed to function as file storage and a build up of excessive numbers of attached documents will cause the system to run slowly and require additional maintenance.

Ask the following questions before sending email to a distribution list:

  • Is the message I plan to send relevant to the majority of the recipients?
  • Does the message comply with the College’s Acceptable Use Policies?
  • Have I chosen the appropriate list for my message without unnecessary duplication?
  • Is the message directly related to my job responsibilities?  

Use web links instead of attachments or embedded images to keep the size of the email small and to reduce the possibility of an email not sending due to the type/size of attachment or embedded image file

Delay delivery of email addressed to large distribution lists (College Business, Student List, etc) to send during off-peak hours.  See "Send Options" tab during email composition.

Set an expiration date on time-sensitive email so that the email will automatically be removed from the system after the date has passed.  For example, if you're announcing an event to the college community, set the expiration date for the day AFTER the event.   See "Send Options" tab during email composition.

Configure your trash folder to automatically empty items that have been there more than 7 days.  Go to the Tools pull-down menu, then Options, Environment, Cleanup.

How do I connect to the internet through the wireless network?

  1. Verify that your wireless network connection is active and attached to SSID 102 **Data Encryption MUST be disabled!**
  2. Open a web browser

Where is there wireless network access?

Wireless internet access is available in most public areas - classroom buildings and cafeterias on both campuses.

Are there any restrictions on the email I send or receive?

Yes, restrictions are put in place to prevent abuse of the email system, as well as to reduce the amount of spam or junk mail and reduce the risk of spreading computer viruses.
