Course Creation and Student Enrollment Processes and Policies
1. Course Creation/Cancellation/Availability
1.1. Courses will be created and cancelled solely on the basis of the Student Information System (Datatel). 1.2. Courses will be created in Angel approximately five weeks prior to the start of the semester. 1.3. Faculty who are assigned to courses in the Student Information System (Datatel) will have access to the courses upon their creation. 1.4. Updates to the course offerings will be completed two times a week, on Monday and Thursday, until six business days before the start of the semester. 1.5. Canceled courses will be identified in Datatel as “Canceled”
1.5.1. Course/Section ID’s will not be modified in Datatel
1.5.1.1. If modification is necessary, Registrar will promptly notify Provost, CMS Admin and Department
1.5.2. Canceled courses will be made inactive in Angel via the same process and on the same schedule that is used to update course offerings.
1.6. Course availability
1.6.1. Faculty will have access to the course for one academic year after the course has been taught. 1.6.2. Students will have access to the course one month after the Registrar’s posted”Grade Submission Date.”
1.6.3. CMS Administrator will remove the completed course one academic year after the course has been taught
1.6.3.1. Create three back-ups of the completed course
1.6.3.1.1. Back-ups will be held by Academic Technology Director, CMS Administrator and off site.
1.6.3.1.2. Restoration of a course back-up will be done within ten business days of request
2. Student Enrollment
2.1. Students will be enrolled and dropped solely on the basis of the Student Information System (Datatel).
2.1.1. Rosters need to be set by the Registrar and available in Datatel six business days prior to start of semester. 2.1.2. Weekend College rosters need to be set by the Registrar and available in Datatel 16 business days prior to start of semester.
2.2. The CMS staff will be the only people authorized to enroll or drop students to/from courses in Angel.
2.2.1. Students will be enrolled within three business days 2.2.2. Faculty will not have the ability to enroll or dropped courses in Angel.
2.3. Students will have access to courses three days prior to start of semester. 2.4. Weekend College Students will have access to courses 13 days prior to start of semester. 2.5. Exceptions: BSN and ADN Nursing Programs’ Student Enrollment will be based on “Nursing Registration Process” (Section 4)
3. Add/Drop Period
3.1. The CMS staff will be the only people authorized to Add/Drop students to courses in Angel.
3.1.1. Faculty will not have the ability to Add/Drop students to courses in Angel.
3.2. CMS Staff will update the Angel course rosters twice each business day, once in the morning and once in the afternoon.
4. Course/Section Registration Process for Programs that have students register into REG Blocks
4.1. Students will register into REG Blocks (which will be used as a Registration “Place Holder”). 4.2. The Angel Course Management System (CMS) Administrator will create courses that are listed in Datatel with the listed faculty member.
4.2.1. Faculty who do not have a course in Datatel (and therefore not in Angel) are encouraged to create their course materials in their Learning Object Repository 4.2.2. The Angel CMS Administrator will not create REG Blocks in Angel 4.2.3. The Angel CMS Administrator will create Community Groups for the Nursing Programs that use REG Blocks
4.2.3.1. To enable Faculty to communicate with and disseminate information to students
4.3. Nursing faculty will work with the students and divide the students into appropriate sections 4.4. Nursing Faculty will submit corresponding student lists to the Registrar. 4.5. Registrar will remove the students from the REG Block and Enroll them into appropriate course/section in Datatel 4.6. Angel CMS Admin will export the student lists from Datatel and enroll the students into the appropriate course/section in Angel
4.6.1. Faculty who created their content in the LOR will copy the content into the appropriate course/section
4.7. In the event that the Nursing Faculty is able to provide the Registrar with the student lists (4.4) nine business days before start of semester
4.7.1. The Registrar will move students into their courses (4.5) six days before start of semester
4.7.1.1. The Angel CMS Administrator will enroll students into their Angel Courses (4.6)
4.7.1.1.1. Students will not need to be enrolled into the Community Group
4.7.2. In the event that the Nursing Faculty is unable to provide the Registrar with the student lists (4.4) nine business days before start of semester
4.7.2.1. Nursing faculty needs to inform the Registrar a minimum of nine days before start of semester. 4.7.2.2. Registrar needs to inform the Angel CMS Administrator a minimum of six business days before start of semester which REG Block corresponds with which Nursing Program 4.7.2.3. Angel CMS Administrator will enroll the students into the appropriate Angel Community Group within six business days before start of semester 4.7.2.4. Students will have access to the Angel Community Group three days before start of semester 4.7.2.5. Upon completion of the division of the students 4.7.2.6. Nursing Faculty will submit the student lists no sooner than the third week of classes 4.7.2.7. Registrar will move students into the appropriate course/section (5) within three business days after receipt of the student lists 4.7.2.8. Upon completion the Registrar will inform the Angel CMS Administrator 4.7.2.9. Angel CMS Administrator will enroll the students into appropriate course/sections (6) within three business days of Registrar’s notification
5. Merged Rosters
5.1. A Merged Roster allows faculty to create courses whose rosters are synchronized with one or more other courses. Any changes in the main course are reflected in the merged courses.
5.1.1. Instructors teaching multiple sections of the same course 5.1.2. Cross listed courses
5.2. Requests for Merged Rosters need to be received by the CMS Administrator no later than the first week of classes.
